MEETING MINUTES

January 11, 2010

 

Gregg Kuhn welcomed everyone to our January booster meeting.  

Financial Update

Jim Narum started out giving a perspective of where the booster club started and where we are at this point in the season since Mark Losee is traveling. Last spring, when the current officers took over we had approx. $100 in the checking account and were presented with $4,000 of invoices we were unable to pay. A budget was put together that focused on additional fundraising and trying to keep expenses in line. An expense approval processs was put in place with new by-laws. Since last spring there has been unbelievable efforts by many of our parents and players and we are looking financially healthy again and on track for the budget. Here is a recap of the larger revenue items compared to what was budgeted for.

1) Tip-Off revenue $1,000 more than budgeted. 

2) Free-Throw-A-Thon (9th/10th grades) revenue is down 50% of what was budgeted for, but 10th grade team/players have not yet done their shots.  Working on those logistics with Coach O.

3) Concessions revenue appears to be higher than budgeted (first year of learning) and going well according to Katy Jonas and Jim Narum.

4) EVAA December Tournament revenue higher than budgeted as EVAA gave us more hours and a bonus fee if we filled and worked all slots.  $1,000 more approx. than budgeted.

5) MYAS hosted Jan. Tournament probably met budget; finalizing numbers.

6) Program Fee at around 75% of budget; Russ Otto suggested better communication as to what this new fee will pay for (uniforms, etc.)

Even though we are making great progress so far this year, we need to continue hitting our planned revenue for each remaining event and hold expenses in line. The last big revenue opportunity is our 2-day hosted MYAS tournament on April 10-11.

PAK parties

Jan. 12-PAK lunch for players/coaches at EVHS; Amy Shanks and Penny Moorse coordinating.

Jan. 29-PAK hosted event at Shanks house; all players, parents and coaches invited.

Feb. 5 and Feb. 19 EVAA hosted pizza nights for players at EVHS.

March 5-PAK hosted event at Ottos house; all players, parents and coaches invited.

Kudos

Gregg K. recognized a few of the great volunteers we have supporting our booster club.

Half-time Event Team:  A big thanks to Lori Haugh, the McSparrons and Julie King for putting together a great line up of activities. 

Website: photos, highlights and updates etc by Russ Otto and Mike Oberfeld.

Cheer Towels: The McSparrons have provided cheer towels for the players to throw out at home games. The crowd loves this.

Jan. MYAS Tournament: Jay Schlosser and Steve Radermacher for handling this fundraising event along with Teresa for managing concessions.

Display Case: Moms that helped put this together at EVHS.

As you can see, it takes an entire effort by all to create an outstanding program for our players.  Thanks!

Sportsmanship

Jim Narum passed around the sportsmanship guidelines published by EVHS and the Lake Conference to promote a healthy environment for our players and fans. Help each other represent EVHS in a positive manner.

Community Support

Voices of Hope: The booster club is supporting the EVHS choir fundraising event for cancer assistance to the Angel Foundation. This event is taking place on the same night as a boys home game on Feb. 5. We are reaching out to the choir dept to sing the national anthem for our game and plug their event upstairs in the Performing Arts Center including their silent auction. Our booster club is looking at donating a percentage of our sales on one item in the concessions as well. Jim Narum is communicating back to EVHS Choir Dept.

Service Projects: JV/Varsity attended Augustana Healthcare and the 10th Grade team is still going to Ebenezer on Jan. 24.  

DDD Night: Dollar Dog and Dew Night promo at the concessions in addition to Teacher Appreciation Night (seniors) taking place on Sat., Jan. 16.  

Food Shelf: Jodi Ulrich is coordinating a food drive at our home game on Feb. 19.  The opposing team and EVAA have been invited to participate as a community event. Gregg Kuhn suggested some type of "ad" in the paper. Angie thought that Dakota County may have a special way to handle this and will forward idea to Jodi.

The meeting adjourned shortly after 8:00 p.m.    

The February 6th Man Club Meeting will be held on Monday, February 8 in Room A-204 (Coach Gerber's classroom.)  We have a game on Monday, February 1 at Eagan....also watch for the EVHS Daily Announcements for any updates.
